  • Must be able to pass a comprehensive background check, which includes a drug screening.

DESCRIPTION:

The successful candidate will bring exceptional organizational capabilities, executive presence, and the ability to anticipate needs, navigate competing priorities, and remain composed and effective in a fast-paced, highly matrixed environment. This role requires an individual who understands that exceptional executive support extends beyond managing schedules and logistics—it requires anticipating priorities, facilitating effective communication, and helping the executive and broader leadership team operate at their highest level.

KEY RESPONSIBILITIES:

  • Serve as a trusted partner to the Group President, proactively anticipating needs, identifying priorities, and ensuring effective management of time, commitments, and key deliverables.
  • Own and strategically manage a complex, high-volume executive calendar, exercising sound judgment in prioritizing meetings, resolving conflicts, and protecting time for the most critical business priorities.
  • Coordinate executive-level meetings, leadership sessions, business reviews, customer engagements, and other key events, ensuring appropriate preparation, materials, logistics, and follow-through.
  • Manage complex domestic and international travel, including detailed itineraries, accommodations, transportation, and contingency planning, while adapting quickly to changing business requirements.
  • Facilitate timely and effective communication between the Group President and senior leaders, employees, customers, and external stakeholders, handling highly confidential and sensitive matters with exceptional discretion.
  • Screen and prioritize meeting requests, correspondence, and inquiries, independently addressing matters when appropriate and ensuring critical issues receive timely attention.
  • Prepare, coordinate, and review executive-level presentations, correspondence, reports, spreadsheets, meeting materials, and other communications with a high degree of accuracy and professionalism.
  • Partner closely with members of the leadership team and their executive assistants to coordinate priorities, meetings, events, and activities across the organization.
  • Anticipate potential conflicts, challenges, and logistical issues and proactively develop solutions to ensure seamless execution.
  • Manage expense reporting and other administrative processes with accuracy, timeliness, and appropriate attention to compliance requirements.
  • Support special projects and leadership initiatives as needed, demonstrating flexibility and the ability to manage multiple priorities with limited direction.
  • Represent the Office of the Group President with professionalism, credibility, discretion, and a strong commitment to Thermo Fisher Scientific’s mission and values.
  • Serve as a supportive leader and mentor to executive assistants across the group and a collaborative partner to peers within the company’s leadership EA team, sharing best practices, offering guidance, and helping colleagues thoughtfully navigate priorities and challenges.

REQUIREMENTS:

  • High school diploma required; Associate’s or Bachelor’s degree preferred.
  • 8+ years of progressive executive administrative experience, including substantial experience directly supporting senior executives in a complex professional environment.
  • Demonstrated success supporting C-suite, Group President, or comparable senior executive leadership strongly preferred.
  • Significant experience operating within a large, global, highly matrixed organization; experience supporting geographically dispersed leadership teams is highly valued.
  • Exceptional calendar management skills, including experience managing complex schedules, competing priorities, and frequent changes.
  • Extensive experience coordinating complex domestic and international executive travel.
  • Demonstrated ability to exercise exceptional judgment, discretion, tact, and diplomacy when handling confidential information and sensitive business matters.
  • Highly proactive and resourceful, with a demonstrated ability to anticipate executive needs, identify potential issues, and independently determine appropriate solutions.
